Data Collected

We collect information from you when you fill out forms on our website. The type of information collected may include:

When you use our contact forms, the information you provide is sent directly by email to contact@mantalys.fr and is not stored in our database.
If you subscribe to our newsletter, only your email address is stored and processed for the purpose of sending you our newsletter. This email address is securely stored and managed using our third-party provider, MailerLite.

Cookies & Analytics

We use OpenObserve to monitor the performance of our website, understand how users interact with our platform, and log technical errors. This helps us ensure a smooth, bug-free experience. If you consent, we may collect pseudonymized telemetry data including page load times, error logs, and basic interaction metrics (such as clicks and scrolling).

All data is strictly used for internal performance monitoring. We mask sensitive user inputs to ensure your privacy. Analytics cookies are only deployed if you explicitly opt-in, and your preference is stored for a maximum of 90 days.

How We Protect Your Information

This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential.

Legal Basis and Data Retention

We process your personal data based on your consent, which you provide by submitting our forms or subscribing to our newsletter. Newsletter email addresses are retained until you unsubscribe or request deletion.

International Transfers

If your newsletter subscription is managed through MailerLite, your data may be processed outside the European Economic Area (EEA). In such cases, appropriate safeguards are implemented to ensure your data remains protected in accordance with GDPR.

MantaPlex Desktop Application

Local Processing

MantaPlex is a fully local desktop application. All scientific data you analyse (images, segmentation results, and derived datasets) is processed exclusively on your own machine and never transmitted to our servers. We have no access to your research data at any time.

Telemetry

If you enable telemetry in MantaPlex settings, the application sends pseudonymized technical data to help us diagnose issues and improve performance. Telemetry is opt-out and can be disabled at any time from the application's Settings page. We never collect your research data, file names, project names, or any content from your analyses.

Telemetry data is sent to our OpenObserve server self hosted in France, split into three categories:

• Crash reports: error types and application panics, with file system paths automatically redacted before transmission. Retained for 90 days.
• Usage data: how the application is used: app started, workflow steps run, and computation performance with no image names, project names, file paths, or research content included. Retained for 180 days.
• Hardware specs: operating system version, CPU model, GPU name, and total RAM, used to help us reproduce and prioritize issues by environment. Retained for 90 days.

Each installation of MantaPlex is assigned a random install identifier, and each application launch generates a temporary session identifier. These allow us to distinguish recurring issues from isolated ones and to avoid over-counting a single user as many. Neither identifier is linked to your name, email address, license holder identity, or any research content. However, because they allow events to be associated with a specific installation over time, they are treated as personal data under GDPR (i.e. pseudonymized, not anonymous).

The legal basis for processing telemetry data is our legitimate interest in maintaining and improving the reliability of our software (GDPR Article 6(1)(f)), balanced against your right to disable telemetry at any time. This data is never sold, shared with third parties for marketing, or used for any purpose beyond diagnosing and improving MantaPlex.

Bug Reports

MantaPlex includes an optional bug report feature to help us diagnose and fix issues. Submitting a bug report is always voluntary and initiated explicitly by you. When you choose to submit a report, the following data may be transmitted to us:

• Issue description: the text you write in the report form.
• Screenshots: only those you explicitly select and attach.
• Application logs: if you opt in. Logs are automatically redacted before transmission to remove file system paths and common identifier patterns. You may review and further edit the log content before sending, or exclude logs entirely by unchecking the option.
• Hardware information: if you opt in. This includes your operating system version, CPU model, total RAM, and GPU name. It does not include any personal identifiers or data from your research files.
• Contact email: if you choose to provide one, solely to allow us to follow up on your report.
• License identifier: to help us understand your environment and provide relevant support.

What we do not collect: MantaPlex never transmits your research data, patient information, image files, or analysis results as part of a bug report. You are responsible for reviewing any screenshots or free-text descriptions before submission to ensure they do not contain sensitive or confidential content.

Bug reports are received by our team via encrypted email (ProtonMail, end-to-end encrypted) and are permanently deleted within 90 days of receipt. This data is never shared with third parties, used for marketing, or stored in any external system.

The legal basis for processing bug report data is our legitimate interest in diagnosing and improving our software (GDPR Article 6(1)(f)), balanced against your right to control what you share through the opt-in and opt-out controls provided in the form. To request deletion of a report you have previously submitted, contact us at legal@mantalys.fr with the approximate date and a description of the report.
